Most data leaks aren’t “Hollywood hacks.” They happen when a file is shared too broadly, a link is forwarded, or an account gets phished.
Set a simple sharing policy
- Default to “specific people” access for sensitive docs.
- Use read-only links unless edits are necessary.
- Assign an owner for each shared folder and review access monthly.
Reduce account takeover risk
- Use phishing-resistant MFA for email and admin accounts.
- Train staff to report suspicious messages early, and make reporting one-click if possible.
Version control that people will actually follow
- One “source of truth” location (don’t email attachments back and forth).
- Clear naming: YYYY-MM-DD_project_topic_v1 (or agree on one standard).
- Use comments/notes in the document instead of separate chat messages.
Backup mindset
Even when you share safely, you still need recovery: accidental deletes, ransomware, or a compromised account can happen. Keep backups and test restoration at least quarterly.
